A 60-person nonprofit in Central Florida · Nonprofit · October 4, 2024
A nonprofit was on a decade-old Google Workspace tenant. Their previous I.T. contractor had backed out mid-plan. They called us on a Tuesday and asked if we could pick it up. We could.
A 60-person nonprofit was running on a Google Workspace tenant that had accumulated a decade of shared drives, custom aliases, and group memberships nobody could fully explain. The board had approved a move to Microsoft 365 to consolidate on the Office apps staff were already using. And then the previous I.T. contractor backed out mid-plan, which is a call we get more often than we would like.
Audited every mailbox, distribution list, alias, and shared drive in the source tenant, even the ones that had not been touched since a former director left in 2019. Built the Microsoft 365 tenant with the correct nonprofit licensing (an E1/E3 mix based on actual usage, not one-size-fits-all). Ran a two-week pilot with the executive team so we could catch any weird edge cases before the whole staff was in it. Cut over the full org over a weekend using a staged mail-flow switch. Inbound mail continued to reach every user during the transition. Migrated shared drive content to SharePoint Online, preserving folder structure and permissions.
Monday morning, every staff member had their same email address, their calendars intact, and their shared documents where they expected them. And the nonprofit was roughly $12,000 a year lighter on software spend, which for a nonprofit is not a rounding error. That went to programs, which is why any of this matters.
