An honest breakdown of MSP pricing. What per-user really covers, what "unlimited helpdesk" should mean, and the questions that separate a real quote from a bait number.
Pricing is where most MSP shops get vague, and being vague on purpose is one of the reasons the industry has the reputation it has. So here is the honest version of how Managed I.T. gets priced, what the numbers actually cover, and the questions we would want a prospect to ask us on the first call.
Almost every real MSP price is built from the same three components. Per-user, which covers workstation management, helpdesk, endpoint security, and the software licensing that follows a person around. Per-server or per-workload, which covers backup, patching, monitoring, and whatever cloud footprint you have. And add-ons, which cover the things not everyone needs, like advanced compliance tooling or specialized backup retention.
In a fair shop, unlimited means unlimited. Your team calls whenever, we answer, we fix it, we don't count minutes. In an unfair shop, unlimited comes with a stack of exceptions that turn most tickets into billable work anyway. Ask which model you are signing up for. Ask what happens if a single user opens twenty tickets in a week. The answer tells you everything.
What is your median response time on urgent incidents, not guaranteed but median? What happens if the technician who knows my environment leaves your shop? What does an offboarding of your service look like on day one? Any MSP that hesitates on those questions is not the one you want.
